Receptionist (Part Time)

Main Job Purpose:
Working Thursdays and Fridays 07:30-17:30, to be the face of DCS and first point of contact for the company.
To be the face of DCS and first point of contact for the company. To provide ad-hoc administration support for other departments including backfill for PA to the Board in their absence.
To meet and greet visitors at all levels and ensure that administrative duties are completed with accuracy and delivered with high quality in a timely manner.
Key Tasks:
The Receptionist is responsible for, but not limited to the following:
- Welcoming visitors, directing, and announcing them appropriately
- Ensure all visitors are signed in, provided passes, and make aware of the relevant DCS policies. Providing them with refreshments. Ensuring that the appropriate company representative is informed and collects them within reasonable timescale, keeping the visitor always informed.
- Maintain security.
- Ensuring that the Reception welcome screen is updated with visitors due to site.
- Promptly answer, screen and forward any incoming calls whilst providing accurate details from the caller
- Manage queries from pubic and customers.
- Receive and organise daily post / deliveries /couriers – (excluding Directors / HR / Private and Confidential mail)
- Providing ad-hoc administration to Customer Service Department / Posting of samples / dealing with Staff order
- Support PA in her absence – hotel / flight / airport parking arrangements for MD, co-ordinating lunches, stationery ordering, organising high level meetings including circulating agendas, collating presentations.
- Always maintain Reception Area Tidy.
- Booking hotel / flight / airport parking arrangements for employees without access to company cards
Monitoring and replenishing the stationary stock
Experience/Competencies Required:
- Educated to a minimum level of GCSE in Maths and English or equivalent.
- Intermediate level of computer literacy including Excel, Word, Outlook, PowerPoint, knowledge of Sage is an advantage.
- Proven Customer Service Skills.
- Previous experience in a similar role.
- Quick, accurate keyboard skills
- Excellent administration / organisational skills
- Calm and collected exterior.
- Professional personal presentation
- Ability to communicate at all levels.
- Accuracy and Attention to detail essential
- Self-motivated and flexible to change.
- Ability to build relationships and liaise effectively with a variety of networks.
